Reconciliation means comparing two records of the same month and explaining the difference. For a small rental worksheet, the two records are usually your ledger and the bank or agent statement. The aim is not to force the totals to match; it is to understand why they do not. A monthly rental record reconciliation is easier when the same categories are used each time.
The five-minute checklist
- Open the bank or agent statement for the month.
- List every rent receipt and property expense in the ledger.
- Match by date, amount and property ID; use the reference as a tie-breaker.
- Mark unmatched items on both sides.
- Write a one-line reason for each difference and keep it with the file.
A fictional three-entry example
| Item | Ledger | Bank | Difference |
|---|---|---|---|
| March rent, P-01 | 1,250.00 | 1,250.00 | 0 |
| Plumbing, P-01 | 180.00 | 180.00 | 0 |
| March rent, P-02 | 980.00 | 980.00 | 0 |
Now change one line: the bank shows 1,200.00 for P-01 because the tenant deducted a 50.00 credit. Do not edit the rent row to 1,200.00 and lose the reason. Record 1,250.00 as charged, 50.00 as a credit, and 1,200.00 as received, or use a clear note if your workbook has no credit column.
What commonly causes a mismatch
- A payment arrives in the next month but covers the prior month.
- A bank fee or agent deduction is missing from the ledger.
- The same receipt was entered twice with different dates.
- A property ID was mistyped, so the amount sits under another property.
- A refund or credit was recorded as a new expense.
Keep an audit note
A short note such as “P-01 March rent: 50.00 credit agreed 2026-03-18” is more useful than a silent adjustment. It lets you or someone else reconstruct the month without searching old messages.
Close the month, then stop
Once every item is matched or explained, mark the month reviewed and leave the source files untouched. The next review starts from the next month, not from a rewritten history.
Use the rental worksheet how-to for the entry check, and see common entry errors if a row will not reconcile.
